Key Considerations When Translating Educational Documents

Key Considerations When Translating Educational Documents

Educational document translation is required in many situations, from applying to a foreign university to seeking employment abroad or having professional qualifications recognised. These documents must not only be translated accurately but also formatted in accordance with the requirements of the country where they will be submitted.

Unlike general texts, diplomas, school certificates and academic transcripts contain official names of educational institutions, degree programmes, subjects, academic qualifications and grading systems. Even a minor inaccuracy may lead to additional questions from a university, employer or public authority and, in some cases, may require the document to be translated again.

For this reason, the translation of educational documents should be entrusted to professionals who work with official terminology and understand the requirements of the destination country.

When Is Educational Document Translation Required?

Educational document translation is required when documents issued in one country need to be officially used in another. Most commonly, this relates to education, employment, professional practice or applications for long-term residence abroad.

The most common situations include:

  • applying to a school, college or university abroad;
  • applying for a position in a specific profession;
  • having a diploma or professional qualification recognised;
  • applying for a long-term visa or residence permit;
  • completing a diploma recognition or nostrification procedure;
  • participating in international education programmes, grant schemes or academic mobility programmes.

In most cases, foreign educational institutions and employers require an official translation of a diploma, school certificate or other educational document. Depending on the requirements of the relevant country, the translation may also need to be notarised, apostilled or legalised by a consular authority. Apostilles for Ukrainian educational documents are issued under a separate procedure administered by the Ministry of Education and Science of Ukraine, while foreign educational documents are recognised in Ukraine through the nostrification procedure.

It should be remembered that different countries may apply different requirements even to the same type of document. Before preparing a document package, it is therefore advisable to confirm the requirements of the university, employer or public authority to which the documents will be submitted.

Which Educational Documents Are Most Commonly Translated?

The documents most frequently translated are those confirming completed education, attendance at an educational institution or the award of a specific qualification. A document package may include both core certificates and additional statements or supporting documents.

Document When It Is Required
School-leaving certificate or certificate of education Applying to an educational institution abroad
Diploma Employment, further study or confirmation of education
Diploma supplement Verification of grades and subjects studied
Academic transcript Transferring between educational institutions
Certificate of enrolment Visa applications or participation in exchange programmes
Professional development certificates Employment and professional practice

Secondary Education Documents

This category includes certificates of basic secondary education, school-leaving certificates confirming complete general secondary education, their supplements and certificates issued by educational institutions. These documents are most often submitted when applying to foreign colleges or universities.

Higher Education Documents

The most common requests involve the translation of bachelor’s, master’s and Doctor of Philosophy diplomas together with their diploma supplements. The supplement contains the list of subjects studied, the number of ECTS credits, grades and other information required to assess the applicant’s education.

Additional Educational Documents

In addition to diplomas and school certificates, academic transcripts, course completion certificates, professional development documents, curricula, letters of recommendation, student ID cards and other records confirming education or professional training may also need to be translated.

What Should Be Considered When Translating Educational Documents?

A high-quality translation of educational documents is not a word-for-word rendering of the text. It is an accurate transfer of the content, structure and official terminology. Whether a university, employer or competent authority accepts the documents without requesting clarification often depends on the quality of the translation.

Educational documents generally follow a standardised format, but the names of institutions, degree programmes, subjects and academic qualifications may vary significantly from one country to another. A translator must therefore take account not only of linguistic differences but also of international conventions for presenting educational credentials.

Accurate Translation of Educational Institution Names

The name of the educational institution is one of the most important elements of the document. Where an official English-language or other foreign-language version exists, that approved name should be used.

Many Ukrainian universities publish approved English-language names on their official websites and use them in internationally recognised diploma documents. If no official version is available, a generally accepted translation should be used while preserving the institution’s legal status as accurately as possible.

Special attention must also be paid to the names of faculties, departments, institutes and other organisational units. An inaccurate translation may alter the meaning of the document or prompt additional questions during the review process.

Translation of Degree Programmes and Academic Subjects

The names of degree programmes do not always have direct equivalents in other languages. The translator must therefore select the closest official term that reflects established international educational practice.

The names of academic subjects require the same level of care. Diploma supplements often contain dozens of courses, each of which must be translated consistently and without changing its meaning. This is particularly important for specialised subjects in medicine, engineering, law, economics and other professional fields.

If the document will later be used to confirm education or complete a qualification recognition procedure, the accurate translation of course titles becomes especially important.

Grades, ECTS Credits and Academic Degrees

In addition to the wording, the grading system must also be reproduced correctly.

Educational documents may contain:

  • a national grading scale;
  • the ECTS grading scale;
  • the number of academic credits;
  • teaching or study hours;
  • an academic degree;
  • the qualification awarded to the graduate.

This information should not be translated arbitrarily. Numerical values are normally preserved exactly, while explanatory text is rendered using recognised international terminology.

Academic degree titles, such as bachelor’s degree, master’s degree or Doctor of Philosophy, must also be presented accurately. Foreign universities and professional bodies rely on this information when assessing educational credentials.

Why Diplomas Should Not Be Translated Using Automated Services

Machine translation tools have improved considerably when handling general texts, but official documents still require professional human review.

Machine translation often:

  • mistranslates the names of degree programmes;
  • renders academic subject titles too literally;
  • fails to use official terminology;
  • alters the structure of the document;
  • translates the same term differently in different sections.

In addition, a machine-generated translation cannot be notarised without professional review and proper execution. For documents submitted to public authorities, universities or employers, a professional educational document translation is therefore the safer and more reliable option.

Is Notarisation, an Apostille or Legalisation Required?

Not every translation of educational documents requires additional certification. The exact requirements depend on the destination country, the receiving institution and the purpose for which the documents will be used.

In some cases, a professional written translation is sufficient. This may apply to an internal selection process, a preliminary review of documents or submission to an organisation that does not require formal certification.

A notarised translation is usually required when this is expressly requested by a university, employer, court, public authority or consular institution. In such cases, the notary certifies the authenticity of the translator’s signature, or the translation is prepared in another legally prescribed form.

An apostille is a special certificate confirming the authenticity of an official document for use in countries that apply the Hague Apostille Convention. Apostilles for Ukrainian educational documents are issued by the Ministry of Education and Science of Ukraine. Eligible documents may include diplomas, school certificates, their supplements, professional development certificates, curricula and certain other education-related documents.

Consular legalisation is required when the documents will be used in a country that does not accept an apostille. In this case, the documents undergo a different international authentication procedure in accordance with the requirements of the destination country.

Before arranging the translation and certification, it is always advisable to confirm the requirements of the receiving institution. This helps avoid unnecessary delays and the need to have the documents processed again.

How Are Educational Documents Translated at the Regional Translation Center?

The translation process consists of several stages, each designed to ensure accuracy and compliance with the requirements of the receiving institution. This approach reduces the risk of errors and helps prevent the need for documents to be reissued or translated again.

The process usually follows these steps:

  1. The client submits the original documents or clear, high-quality scanned copies.
  2. Our specialists check whether the document package is complete and legible and determine the applicable formatting requirements.
  3. A professional translator prepares the written translation using recognised educational terminology.
  4. The completed translation undergoes editorial review. The names of institutions, degree programmes, subjects, dates, grades and personal details are checked carefully.
  5. Where required, the translation is notarised or the documents are prepared for subsequent apostille certification or consular legalisation.
  6. The client receives the completed documents in person or through a delivery service.

This process ensures not only linguistic accuracy but also correct document formatting for the intended purpose. Where documents are required for university admission, qualification recognition or employment, the translator takes account of the destination country’s requirements and the specific features of each document. As a result, the diploma, school certificate or academic transcript is clear to foreign institutions and uses consistent terminology throughout. Clients may also receive guidance on whether notarisation, an apostille or another form of international document authentication is required.

How Can You Avoid Errors When Translating a Diploma or School Certificate?

Most problems with using educational documents abroad arise not from the original document itself but from inaccuracies in its translation or certification. These issues can often be avoided by checking several important details in advance.

Before ordering a translation, it is advisable to:

  • make sure that every page of the document is clear and legible;
  • confirm the translation and certification requirements with the receiving institution;
  • include the diploma supplement listing subjects and grades, where available;
  • avoid making corrections or adding notes to the document;
  • obtain an official duplicate where possible if the original is damaged;
  • choose translators with experience in handling official educational documents.

Even minor inconsistencies may lead to additional checks. For example, translating the same degree programme differently in the diploma and its supplement, misspelling a surname or entering an incorrect date may raise concerns about the document’s authenticity. Academic degrees, grading systems and subject titles must also be rendered consistently and accurately. If the documents are intended for use abroad, it is best to establish from the outset whether an apostille or another form of international authentication is required. This makes it possible to prepare the full document package efficiently and avoid unnecessary delays or repeat processing.

The translation of educational documents requires attention to detail, knowledge of international terminology and an understanding of the requirements applied in different countries. The accuracy of a diploma, school certificate or academic transcript translation may determine how quickly it is accepted by a university, employer or public authority.

A professional translation helps prevent inconsistencies, ensures correct formatting and makes educational documents easier to use abroad. Where a translation is required for study, employment, qualification recognition or another official purpose, the specialists at the Regional Translation Center can prepare the documents in line with the applicable requirements.
