Obtaining a Certificate of Study: What Is It and When Do You Need One?

Obtaining a certificate of study involves requesting an official document from an educational institution, its archives, its legal successor, or another institution holding the relevant records. This service is particularly useful for people who are currently abroad, cannot contact their former educational institution in person, or need official confirmation of studies completed in previous years.

The term “certificate of study” may refer to several different types of documents.

Before requesting a certificate of study, it is therefore important to determine exactly what information is required by the institution to which the document will be submitted. For employment purposes, confirmation of the period of study may be sufficient, while procedures relating to education or professional qualifications may require much more detailed information.

What Information Can a Certificate of Study Confirm?

The content of a certificate depends on the applicant’s status, the purpose for which the document is required, and the information available to the educational institution or its archives. There is therefore no single universal form of certificate suitable for every situation.

Certificate for a Current Student

A current certificate of enrolment generally confirms that a person is enrolled at a particular educational institution at the time the certificate is issued.

Depending on its intended purpose, it may state the name of the educational institution, faculty or other academic unit, field of study or educational programme, year of study, mode of study, and other relevant details. The exact content should be confirmed with the institution or authority to which the document will be submitted.

This is particularly important when a university certificate is intended for use abroad. A foreign institution may require confirmation of specific information rather than simply proof that the person is currently studying.

Archival Certificate for a Former Student or Graduate

An archival certificate of study is required when information relating to previous years needs to be officially confirmed. It is issued on the basis of records preserved in the relevant archives.

The certificate may include the period of study, faculty, field of study, mode of study, qualification awarded, or other information, provided that these details can be verified from the available archival records.

An archival certificate may also play an important role in the replacement or restoration of educational documents. In particular, where information about a previously issued higher education document is not available in the Unified State Electronic Database on Education (EDEBO), an archival certificate of study, together with other archival records, may be used to confirm the relevant information.

When Might You Need a Certificate of Study?

A certificate of study may be requested by Ukrainian or foreign institutions when official confirmation of a person’s current or previous studies is required.

The most common situations include:

  • applying to or continuing studies at another educational institution, including an institution abroad;
  • employment and confirmation of education or professional qualifications;
  • procedures for the recognition of educational documents;
  • submitting documents to government authorities, immigration services, social security institutions, or other organisations;
  • confirming a period of study or specific details of an educational programme;
  • replacing lost educational documents or confirming information about a previously issued diploma.

However, the term “certificate of study” alone does not determine which document is required in a particular case. Before placing a request, it is advisable to obtain the requirements of the receiving institution, including what information the certificate must contain, the language in which it must be submitted, and whether any additional certification is required.

This helps avoid a situation where a certificate has already been obtained but does not contain the required information, making it necessary to submit a new request.

How to Obtain a Certificate of Study in Ukraine

To obtain a certificate of study in Ukraine, the first step is to identify the institution that holds the required records. For recent studies, this will usually be the educational institution itself. For studies completed many years ago, it may be necessary to contact an archive or the institution’s legal successor.

Where Should the Request Be Submitted?

If the university, institute, college, vocational school, or other educational institution is still operating, it is usually best to contact that institution first. Depending on its internal structure, the request may be handled by the administration, the relevant academic department, or the archives.

If the institution has changed its name or undergone reorganisation, its legal successor should be identified. The documents and archival collections of the former institution may have been transferred to that successor.

If the institution has ceased operations and has no legal successor, the first step is to establish where its records are currently held. The subsequent procedure will depend on the type of educational institution, the period of study, and the specific document that needs to be obtained.

What Information Is Needed for an Archival Search?

The longer ago the studies took place, the more important it is to provide accurate background information. For an archival search, it is generally helpful to provide the surname, first name and patronymic used during the period of study, the years of admission and graduation or completion of studies, the institution’s name at that time, the faculty, field of study, mode of study, and educational level obtained.

If the applicant’s surname has changed, the previous surname should also be provided. Where available, it is also advisable to provide the diploma number, student ID number, grade book details, or any other information that may help locate the relevant records.

Incomplete information does not necessarily make an archival search impossible, but it may make the process more complicated and time-consuming.

What Documents Are Required to Obtain a Certificate of Study?

There is no single list of documents that applies to every educational institution and archive. The specific requirements should always be checked with the institution that will issue the certificate.

Depending on the circumstances, the following may be required:

  • an application stating the information requested and the purpose of the request;
  • a copy of a passport, ID card, or another identity document;
  • a copy of a diploma, diploma supplement, student ID card, grade book, or another document relating to the studies, if available;
  • a document confirming a change of surname or other personal details if they were different during the period of study;
  • a power of attorney if a representative is acting on behalf of the applicant.

This list should be treated as general guidance rather than as a statutory set of requirements applicable in every case. One university may accept an application remotely, while another may use its own application form or require additional documents to verify the applicant’s identity and locate the relevant archival file.

Particular attention should be paid to the correct spelling of the applicant’s full name and the dates of study. For older records, even a difference between a current and former surname can be significant during an archival search.

If the certificate is to be collected by a representative, the requirements regarding that person’s authority should preferably be clarified before the power of attorney is issued.

Can a Certificate of Study Be Obtained by Power of Attorney?

Yes. In many cases, documents can be requested and collected through an authorised representative. This is particularly convenient for people who live in another city or are currently outside Ukraine.

A representative may submit applications, communicate with the educational institution or archive, and collect the completed document within the scope of the powers granted by the power of attorney. However, requirements vary between institutions. Certain archival procedures may require a notarised power of attorney.

If the power of attorney is issued abroad, the requirements for its form and use in Ukraine should be checked in advance. Depending on the country where it is issued and the specific circumstances, an apostille or another form of document authentication may be required, as well as a translation into Ukrainian.

For this reason, when requesting a certificate of study remotely, it is better to begin by checking the requirements of the institution holding the relevant records rather than immediately arranging a power of attorney.

What If the Educational Institution Has Been Renamed, Reorganised, or Closed?

The closure or renaming of an educational institution does not necessarily mean that an archival certificate can no longer be obtained. The first step is to establish the institution’s legal history and determine where its records were transferred.

If There Is a Legal Successor

If an educational institution was reorganised through a merger, incorporation, or another form of legal succession, requests for documents should generally be submitted to the institution that became its legal successor.

Student files, administrative orders, registers, records of issued diplomas, and other materials may have been transferred to that institution. When submitting a request, it is advisable to provide the former name of the educational institution and the approximate years of study, as this can make it easier to identify the relevant archival collection.

If There Is No Legal Successor or the Archives Are Unavailable

There is no universal procedure for this situation. It is necessary to determine where the records of the closed institution were transferred and whether materials covering the required period have been preserved.

It is also important to distinguish between obtaining an archival certificate and obtaining a duplicate diploma. An archival certificate confirms information contained in archival records, whereas a duplicate replaces an educational document under the procedure applicable to that document. These are separate procedures, although archival records may in some cases be used to support the replacement of an educational document.

How Long Does It Take to Obtain a Certificate of Study?

There is no standard processing time for all certificates of study. The timeframe depends on the institution, the type of document requested, the completeness of the information provided, and the complexity of the archival search.

If the applicant is currently enrolled and only needs a standard certificate of enrolment, the process is generally more straightforward. An archival certificate covering studies completed many years ago may require searches through student files, administrative orders, registers, and other records.

Additional time may be required if the educational institution has been renamed or reorganised, its archives have been transferred elsewhere, the applicant’s surname has changed, or the information provided is insufficient to identify the relevant records accurately.

It is therefore more practical to first establish where the records are held and only then confirm the expected processing time. If the certificate is intended for use abroad, additional time should also be allowed for any further authentication and translation.

Does a Certificate of Study Need Translation and an Apostille?

A certificate intended for use abroad will often need to be translated, but whether an apostille or another form of authentication is required depends on the destination country and the requirements of the institution receiving the document.

An apostille should not be requested automatically simply because the certificate will be used outside Ukraine. The requirements of the university, employer, qualification recognition authority, immigration service, or other receiving institution should be checked first.

The document preparation process may follow this sequence:

obtaining the certificate → apostille or another required form of authentication → translation → appropriate certification of the translation → delivery of the document.

The exact procedure, however, depends on the destination country. In some cases, a standard professional translation is sufficient. In others, notarisation may be required, while certain institutions may require the translation to be completed or certified in accordance with the rules of the country where the document will be submitted.

When contacting the Regional Translation Center, it is therefore advisable to specify the destination country and the institution that will receive the document. This makes it possible to determine the full document preparation process in advance and avoid unnecessary procedures.

How to Request a Certificate of Study Through the Regional Translation Center

To request assistance with obtaining a certificate of study, simply provide the available information about the educational institution, the period of study, and the document you need. If the certificate is intended for use abroad, it is also advisable to specify the destination country and the institution to which it will be submitted.

The specialists at the Regional Translation Center first review the circumstances: whether the educational institution is still operating, whether it has a legal successor, where its archival records may be held, and what information is required to submit the request. The appropriate procedure for authorisation and obtaining the document can then be determined.

If necessary, once the certificate has been obtained, further document preparation can also be arranged, including professional translation, the required certification, and delivery of the completed documents within Ukraine or abroad.

This approach is particularly convenient when the applicant is in another country or needs records from an older, renamed, or reorganised educational institution, as all stages can be coordinated as a single, consistent process.
